Shipping Policy
At Willard's HVAC Supply, we take pride in fast, reliable shipping for both standard and freight orders. Please review our shipping terms carefully to understand how your order will be processed and delivered.
1. Shipping Destinations
We ship to the contiguous United States (lower 48 states) only. We do not ship to Alaska, Hawaii, P.O. boxes, APO/FPO addresses, or international destinations.
2. Shipping Costs
We offer free standard shipping on all orders. Freight shipments are included at no additional shipping charge unless optional services such as liftgate delivery are requested.
3. Carriers Used
We ship using a combination of standard parcel carriers (UPS, FedEx, USPS) and LTL freight carriers depending on the size, weight, and type of product ordered.
4. Order Cutoff Time & Handling Time
- Order Cutoff Time: 2:00 PM EST, Monday through Friday.
- Orders placed by 2:00 PM EST on a business day will begin processing the same day.
- Orders placed after 2:00 PM EST, or on weekends and holidays, will begin processing the following business day.
- Handling Time: All orders are processed and shipped within 1 business day of payment confirmation.
5. Estimated Transit Time
- Standard Ground (Non-Freight): 3–5 business days after shipment. Carriers deliver Monday through Saturday.
- Freight Orders: 5–7 business days after shipment depending on destination. LTL freight carriers typically deliver Monday through Friday.
6. Freight Shipping Details
- Freight shipments are delivered curbside to commercial or residential addresses.
- The customer is responsible for unloading the item(s) from the truck unless a liftgate service is purchased or included.
- Inspect all freight deliveries before signing the carrier's delivery receipt. Note any visible damage immediately and contact us within 24 hours at support@willardshvacsupply.com.
7. Tracking Information
Once your order ships, a tracking number will be provided via email. Freight shipments may include a Bill of Lading (BOL) number for status updates through the carrier's website.
8. Missing or Undelivered Orders
If you have not received your order within the estimated delivery window, please take the following steps:
- Check your tracking number or BOL number for the latest carrier update.
- Allow 1–2 additional business days, as carrier delays occasionally occur.
- If your order still has not arrived, contact us at support@willardshvacsupply.com with your order number and we will investigate and resolve the issue promptly.

While we strive to meet all delivery timelines, Willard's HVAC Supply is not responsible for carrier delays caused by weather, natural events, or other circumstances beyond our control.

Refund & Return Policy
Return, Exchange & Limited Refund Policy

Exchange-Only Policy
At Willards HVAC Supply, all approved returns are handled as exchange-only returns, regardless of the reason for return, including but not limited to seller error, shipping issues, wrong item received, defective merchandise, compatibility concerns, or customer ordering mistakes.
We do not guarantee refunds, and all return requests for an exchange must be made within seven days of delivery. Failure to do so will result in the rejection of your request regardless of whether the problem is due to our error or not.
Approved returns may be resolved through one or more of the following remedies, at our sole discretion:
- Exchange for the same item
- Replacement of the item
- Exchange for an equivalent item of similar function or value
- Store credit for future purchases
Limited Refund Exception
If an approved returned item cannot reasonably be replaced or exchanged because inventory is unavailable, discontinued, or otherwise not obtainable, Willards HVAC Supply may choose, at its sole discretion, to issue a refund to the original payment method.
Refunds are not guaranteed, are not a customer entitlement, and are issued only at the sole discretion of Willards HVAC Supply.
Seller Error / Wrong Item / Shipping Error
If we ship the wrong item, incorrect quantity, or an incorrectly labeled item, please notify us within 7 calendar days of delivery. Once approved, we will provide return instructions and prepaid return shipping.
Upon receipt and inspection of the returned product, we will resolve the matter through an exchange, replacement, equivalent product, or store credit, at our sole discretion.
If replacement inventory is unavailable, we may, but are not obligated to, issue a refund.
Customer Remorse / Compatibility / Wrong Part Ordered
Because HVAC products are highly technical and application-specific, returns for wrong part ordered, compatibility issues, misdiagnosis, change of mind, or pricing concerns are generally not accepted unless approved by Willards HVAC Supply.
If approved, any return resolution will be exchange-only and not a refund, except where Willards HVAC Supply elects otherwise in its sole discretion.
Defective Products / Warranty Claims
Defective items covered under our seller warranty will be resolved through repair, replacement, exchange, equivalent product, or store credit, at the sole discretion of Willards HVAC Supply.
Refunds are not guaranteed and may only be issued if replacement options are unavailable and Willards HVAC Supply elects to do so.
