Shipping policy
At Willards HVAC Supply, we are committed to transparent, reliable shipping for all orders. Please review this policy carefully before placing your order so you fully understand how your purchase will be processed and delivered.
1. Shipping Destinations
We ship to addresses within the contiguous United States (lower 48 states) only. We do not currently ship to Alaska, Hawaii, U.S. territories, P.O. boxes, APO/FPO addresses, or international destinations.
2. Shipping Costs
We offer free standard shipping on all orders to eligible addresses within the contiguous United States. Freight shipments are included at no additional shipping charge unless optional services such as liftgate delivery, inside delivery, or delivery appointment scheduling are requested.
Please note: Free shipping applies to standard delivery addresses. Addresses classified as remote, limited-access, or rural by the carrier may be subject to additional surcharges. If your address qualifies for a surcharge, we will notify you before your order ships and provide options. You will never be charged an unexpected shipping fee without prior notice.
3. Carriers Used
We ship using a combination of the following carriers depending on the size, weight, and type of product ordered:

Standard Parcel: UPS, FedEx, USPS

LTL Freight (large items): Estes Express, XPO Logistics, R+L Carriers, or comparable LTL freight carriers
The carrier for your specific order will be determined at time of fulfillment. You will be notified of your assigned carrier and tracking information once your order ships.
4. Order Processing
Order Cutoff Time: 2:00 PM Eastern Time (ET), Monday through Friday.

Orders placed by 2:00 PM ET on a business day will begin processing the same day.

Orders placed after 2:00 PM ET, or on weekends or federal holidays, will begin processing on the next business day.
Handling Time: Orders are processed and prepared for shipment within 1 business day of payment confirmation, Monday through Friday, excluding federal holidays.
Important — Multiple Shipments: Willards HVAC Supply sources products from multiple authorized fulfillment partners. Orders containing more than one item may ship separately from different locations. If your order ships in multiple packages, you will receive a separate tracking number for each shipment. It is normal to receive items from the same order on different dates. This is not an indication that any part of your order is missing.
5. Estimated Transit Times
Transit time begins on the day your order ships, not the day it is placed.

Transit times are estimates provided by carriers and are not guaranteed. Actual delivery dates may vary due to carrier capacity, weather, or other external factors.
6. Freight Shipping — Important Requirements
Many HVAC components — including air handlers, rooftop units, condensers, mini split systems, and other large equipment — ship via LTL (Less Than Truckload) freight. Please read the following carefully before placing an order for a freight item.
Delivery Type: Freight shipments are delivered curbside to the address on file. The driver will bring the item to the curb or end of your driveway but is not responsible for moving it inside your property, up stairs, or into a garage or storage area.
Adult Presence Required: Someone must be present at the delivery address to receive and sign for all freight shipments. Freight carriers will not leave items unattended. If no one is available at the time of delivery, the carrier may return the item to their facility. Re-delivery attempts may result in additional fees (see Section 7 below).
Delivery Appointment: LTL freight carriers will typically contact you by phone to schedule a delivery appointment window. Please ensure the phone number on your order is current and that you are available to coordinate scheduling.
Customer Unloading Responsibility: The customer is responsible for unloading the item from the truck. If you require assistance unloading, a liftgate service can be added to your shipment at an additional charge. Please contact us at support@willardshvacsupply.com before your order ships if you need liftgate service.
Damage Inspection — Required Before Signing: Inspect all freight deliveries thoroughly before signing the carrier's delivery receipt (Bill of Lading). Check for visible damage to packaging, boxes, and the item itself. If damage is present:

Note the damage in writing on the delivery receipt before signing.

Take photos of the packaging and the item immediately.

Failure to note damage on the delivery receipt before signing may affect your ability to file a freight damage claim. We strongly recommend not refusing delivery unless the item is catastrophically damaged, as refused shipments can delay resolution significantly.
7. Missed Freight Deliveries & Re-Delivery Fees
If you miss a scheduled freight delivery appointment or are unavailable at the time of delivery, the carrier may charge a re-delivery fee. These fees typically range from $75 to $200 or more, depending on the carrier and destination, and are the customer's responsibility.
To avoid re-delivery fees, please ensure someone is available at the delivery address and that you respond promptly to the carrier's scheduling calls or messages.
8. Customer Responsibility for Address Accuracy
Customers are responsible for providing a complete and accurate shipping address at the time of order. If an address correction or re-route is required after a shipment has left our fulfillment partner's facility, additional carrier fees will apply and are the customer's responsibility. Address correction fees can range from $15 to $100+ for parcel shipments and significantly more for freight.
If you notice an error in your shipping address after placing your order, contact us immediately at support@willardshvacsupply.com. We will do our best to correct the address before the order ships, but we cannot guarantee changes can be made once fulfillment has begun.
9. Transfer of Risk
Risk of loss and title for all items passes to the customer upon delivery of the order to the carrier. Once a shipment has been picked up by the carrier and a tracking number has been issued, Willards HVAC Supply's direct responsibility for the item is limited to assisting with carrier claims and replacement coordination where applicable.
10. Tracking Your Order
Once your order ships, tracking information will be sent to the email address on your order. Please allow up to 24 hours after shipment for tracking information to activate in the carrier's system.

Parcel orders: Will include a UPS, FedEx, or USPS tracking number.

Freight orders: Will include a Bill of Lading (BOL) number for status tracking through the carrier's website or customer service line.

11. Missing, Late, or Undelivered Orders
If your order has not arrived within the estimated delivery window, please take the following steps:

Check your tracking number or BOL number for the latest carrier update.

Allow 1–2 additional business days, as carrier delays occasionally occur, particularly for freight shipments.

Confirm your shipping address was entered correctly at checkout.

If your order still has not arrived after this period, contact us at support@willardshvacsupply.com or (803) 510-7290 with your order number and we will investigate and work to resolve the issue promptly.
12. Delays Beyond Our Control
While we work with reliable carriers and fulfillment partners to meet all delivery estimates, Willards HVAC Supply is not responsible for carrier delays caused by weather events, natural disasters, carrier capacity issues, federal holidays, or other circumstances beyond our control. We will always assist customers in tracking and resolving carrier issues to the best of our ability.
