Welcome to Willards HVAC Supply LLC. These Terms of Service (“Terms”) govern your access to and use of our website, willardshvacsupply.com (“Site”), and your purchase of any products from us. By using our Site and services, you agree to these Terms. If you do not agree, please discontinue use immediately.

1. About Us

Willards HVAC Supply LLC is an online reseller of HVAC parts and components. We sell new surplus and refurbished products sourced from independent third-party channels. We are not an authorized distributor for the brands listed and make no claims of endorsement or affiliation with the original manufacturers.

2. Account Eligibility & Security

  • You must be at least 18 years old to place an order.
  • You agree to provide accurate, current, and complete information for your account and purchases.

  • You are responsible for maintaining the confidentiality of your account credentials.

3. Orders & Acceptance

  • All orders are offers to purchase products from Willards HVAC Supply LLC.
  • We reserve the right to accept or reject any order at our sole discretion, including those suspected of fraud or policy violation.

4. Pricing & Payment

  • All prices are listed in U.S. Dollars (USD).

  • Prices may change without notice, but confirmed orders are not affected.

  • You agree to pay all fees and charges associated with your order, including shipping and taxes.

  • We accept all major credit cards, Apple Pay, Google Pay, and Shop Pay.

5. Shipping Policy (Summary)

  • All orders ship within 24 hours of payment confirmation (excluding weekends and holidays).

  • Non-Freight Items: Ship via standard ground or expedited carriers. 

  • Freight Items: Ship via LTL freight carriers.
  • We currently ship within the contiguous United States only.

6. Return Policy (Summary)

  • Returns are only accepted when we make an error (e.g., wrong item shipped).
  • Must be requested within seven (7) calendar days of delivery.
  • Products must be unused, uninstalled, and in original condition.
  • A shipping label must be provided by us for any approved return. Customers must drop off the package within two (2) business days of receiving the label.
  • Returns will be rejected if the product condition differs, the package is delayed, or shipping errors occur.
  • Customer is responsible for insurance claims if the return is lost by the carrier.
  • Please follow up within three (3) business days of delivery back to us to confirm your refund.

7. Willards HVAC Supply 1-Year Flexible Warranty Policy

Policy Overview

Willards HVAC Supply LLC stands behind the quality of every part we sell. We provide a 1-Year. Flexible Warranty on all items listed on our website, effective from the date of purchase.

Independent Reseller Disclosure

Please be advised that Willards HVAC Supply is an independent reseller and is not an authorized distributor for the brands we carry (including Trane, Carrier, York, and Goodman). 

Because of our independent status, original manufacturer warranties generally do not apply to these items.

This warranty is a Seller-Provided Guarantee issued and fulfilled exclusively by Willards HVAC Supply LLC.

Coverage Scope

This warranty applies to:

Manufacturing Defects: Failure of parts due to defective materials or manufacturing faults under normal operating conditions.
Functional Failures: Products that fail to operate as intended when installed correctly.

Exclusions and Limitations
To ensure fair operations, the following are excluded from coverage:
Labor and Downtime: We are not responsible for any labor costs associated with diagnosis, removal, or installation, nor are we liable for system downtime or indirect damages.
Improper Installation: Any damage resulting from incorrect installation, modifications, or failure to follow manufacturer specifications is excluded.
Carrier Damage: Visible damage occurring during transit should be reported within 24 hours and is handled via shipping claims rather than this product warranty.

Warranty Claim Process
If you experience a failure with a covered component, please follow these steps:

Step 1: Email support@willardshvacsupply.com with your order number, part number, and a detailed description of the failure.
Step 2: Provide photos or video evidence clearly demonstrating the issue.Step 3: Once approved, we will issue a prepaid shipping label for the return of the defective item.
Step 4: The item must be dropped off with the carrier within two (2) business days of receiving the label.

Customer Responsibilities
Licensed Installation: We strongly require that all HVAC components be diagnosed and installed by a licensed HVAC professional. Proof of professional installation may be requested to validate a warranty claim.
Condition: Items must be returned in their original condition, barring the reported manufacturing defect.

Governing Law and Transferability
This warranty is non-transferable and applies only to the original purchaser and the initial installation.

All claims are governed by the laws of the State of South Carolina.

8. Product Accuracy & Representations

We make every effort to provide accurate product descriptions and photos. However, Willards HVAC Supply LLC cannot guarantee that all product listings are error-free. Product names and trademarks belong to their respective owners. We do not verify manufacturer serial numbers or claim manufacturer warranty coverage unless explicitly stated.

9. Intellectual Property

All content on this Site—including text, graphics, images, and logos—is owned by Willards HVAC Supply LLC or its licensors and is protected under applicable intellectual property laws. You may not copy, modify, or distribute any content without written permission.

10. Reseller Status

Please be aware that we are an independent reseller of HVAC parts and components. We are not authorized by the brands we resell. We do not claim endorsement or affiliation with any of the brands listed on our website.

Please also be aware that since we import our products from independent third-party resellers, we rely on these resellers for verification of products. As an independent distributor, we cannot verify the serial numbers on the items we resell in the manufacturer's database. You expressly waive Willards HVAC Supply from any action arising out of or in connection with our reliance on the third-party re-sellers from whom we import our products.

Willards HVAC Supply sells certified pre-owned products sourced through independent channels. All warranties and support, if applicable, are with Willards HVAC Supply and not the manufacturer. Willards HVAC Supply is not an authorized distributor or representative for the listed manufacturers and makes no representations regarding the quality control performed by any listed manufacturer on the products. The products listed on this website may vary in their country of origin, as well as in the accessories and other items included with the product, and in the language used on the packaging, parts, and any related instructions or printed materials.

All uses of third-party trademarks, names, or logos on our website are solely to accurately describe the products that we sell. We do not claim endorsement or affiliation with any of the brands listed on our website.

11. Limitation of Liability

To the fullest extent permitted by law, Willards HVAC Supply LLC shall not be liable for any indirect, incidental, special, or consequential damages resulting from your use of our Site or products. Our total liability will not exceed the amount paid for the product in question.
